What is onboarding?

Onboarding of an employee is a program supporting the newly hired employee in the implementation of the duties, getting to know the team, organizational culture, and rules in the company. The employee should feel properly accepted and receive all relevant information about the company, get to know the people with whom he or she will be working directly, and integrate with the team.

what is onboarding

Properly conducted onboarding builds commitment in the employee, a sense of belonging. It also enables newcomers to get familiar with the place faster and to take on all assigned responsibilities more steadily. They will also integrate faster with the team, which as everyone knows, translates directly into the results and financial performance of the entire company. The onboarding process also reduces the risk of quick resignation of an employee who feels insecure or abandoned at work or in the team.

During the interview

Good onboarding starts already during the interview, during which the recruiter should present the candidate with the vision, mission along with main objectives of the company. You can also tell about the structure of the organization, its culture, the team in which the candidate will potentially work or the supervisor. You can also show the candidate the office.

Before the first day at work

Once you’ve decided to hire a candidate, stay in touch with him before his first day. Provide him with your email address and phone number and assure him that he can contact you with any questions or concerns. Before the new employees starts work, provide them or with key information. It includes details such as where to park, where to report for the first day, what the company’s dress code is, and what documents to bring to complete employment formalities. Also, briefly introduce the plan of the first day – inform what awaits them : what formalities, what training, what will be their first tasks in the new position. Thanks to this, the fresh employees will come well-prepared and will know what to expect.

Also, make sure the new employee’s workstation is ready; computer, necessary hardware, software installation, and provision of required tools. Also prepare the documents to be sign, the employee’s entrance pass to the company. Remember to inform the team that a new person will be joining on that day. More and more organizations decide to provide a welcome kit to newcomers. It can be a brochure with interesting facts about the company handy gadgets such as headphones or a memory stick, a sweet snack, a small gift in a form of a mug, or a T-shirt with the company’s logo.

On day one

Ensure the first impression of the company by welcoming the candidate on his first day. Introduce him to your team, supervisor and other key employees. Introduce them, tell them who does what, and tell them who to contact with any problems. Also, make sure to train the employee as soon as possible on HSE, cybersecurity and GDPR, as well as the software and tools used. Familiarize them with the organization’s internal regulations and policies.

The next day, week, month…

Remember that onboarding is not just an introduction on the first day, but a regular check of progress, assistance along with continuous implementation of the employee’s duties. It can last weeks or months – depending on the position. It is a long and complex process, crucial to retaining an employee in the organization. Importantly, onboarding should change over time – listen to your employees, their comments and ideas about changes and improvements to ensure the process is as smooth as possible.
