ChatGPT use cases. 18 examples of how to improve your business with ChatGPT in 2024 | AI in business #61

ChatGPT use cases in Human Resources

AI chatbots like ChatGTP are widely used in HR departments. They free HR professionals from tedious, repetitive tasks, such as recruiting or preparing training materials for new hires. The first example of ChatGPT’s use in recruitment is the initial evaluation of candidates’ resumes. The AI algorithm analyzes the resumes to ensure that they meet the requirements of the position, allowing the HR department to look more closely at the documents of the best applicants.

To take full advantage of this capability, it would be best to choose ChatGTP Plus, which allows you to attach files. This way, you can:

  • present Chat GTP with the requirements for a specific position,
  • attach the candidate’s resume – of course, stripped of personal information and elements to identify the person to whom it applies,
  • specify the format – for example, provide additional evaluation criteria or ask ChatGPT to summarize the candidate’s profile.

However, you should be cautious about relying solely on ChatGTP’s statements. It’s not advisable to fully depend on artificial intelligence to assess the potential of a person who applied to our company. Therefore, it is worthwhile to consider this step as preliminary screening, but one that should be verified by a human.

Another use case for ChatGPT is generating materials and training programs for employees. Based on information about the company’s structure, positions, and developmental needs, artificial intelligence can assist in creating personalized training paths and even determining priorities for each of them.

The chatbot can also help generate personalized responses to repetitive employee questions, for example, regarding:

  • benefits,
  • vacations, or
  • settlement of business trips.

If we have a document prepared containing all this information, we can create a thread where we attach the document and then ask ChatGPT Plus to provide answers based solely on the document. This way, it’s enough to add additional questions in the same thread to receive an answer ready for sending to the employee.

This relieves the HR department from providing standard information. However, we must also be cautious here — ChatGPT can sometimes “lie” if it lacks the necessary information to answer a question.

Another noteworthy use case for ChatGPT in HR is the generation of documents based on job descriptions. This is especially valuable in organizations experiencing dynamic changes, streamlining both recruitment and internal human resource management processes.

By analyzing opinions and feedback from employees, ChatGPT can provide valuable insights for the HR department regarding areas that require improvement or change. This is another example of how ChatGPT can contribute to optimizing the work environment, as well as improving processes and the employee experience.

Department: Human Resources (HR)

ChatGPT use case
Benefits
Initial evaluation of CVs Increasing the efficiency of the recruitment process
Developing training programs and materials Improving the process of employee tr
Automating answers to frequently asked questions Improving internal communication
Support in creating and updating job descriptions Providing up-to-date and accurate information on positions
Analyzing employee feedback Understanding employee needs and expectations

Applications of ChatGPT in the IT department

ChatGPT can also be used in IT departments. While there are dedicated tools for developers, such as Github Copilot, ChatGPT can also speed up many technical tasks.

In IT, ChatGPT is useful for tackling repetitive technical questions. Instead of IT staff creating responses each time, they can start a thread or use GPTs with the right knowledge. This helps the chatbot provide quick and detailed information. To make it even easier, organizations can integrate with a knowledge base and automate responses, but this requires more commitment and suitable solutions.

Another example is using artificial intelligence to generate code snippets and debug based on the description of a given technical problem. This can significantly speed up the work of programmers.

In addition, the AI algorithm can greatly accelerate the process of creating technical documentation by analyzing code and comments. This frees programmers from having to describe their work, or the organization from having to hire additional specialists to update it.

One of the interesting uses of ChatGPT is also looking for security gaps in our software. This will help reduce vulnerability to hacking and malware attacks, so IT administrators can better prepare to protect against cyber threats.

What is more, ChatGPT can help optimize code, pointing out shortcomings and ways to improve the performance of IT solutions created in the company.

Department: IT

ChatGPT use case
Benefits
Automating technical support and FAQs Improving the speed and quality of IT support
Generating code and debugging Accelerating the software development process
Managing technical documentation Providing up-to-date and consistent technical information
Searching for security vulnerabilities Strengthening IT security by creating better software
Optimizing code Improving the efficiency of IT solutions

Using ChatGPT in marketing

Marketing is a field where creativity meets data analysis. ChatGPT use cases are applications in marketing that can significantly impact campaign effectiveness and understanding of the market.

One of the ChatGPT use cases is generating advertising content. Start by collecting the best content your company has published. Show these examples to ChatGPT with a brief similar to what you’d give a content creator. The algorithm will then analyze your target audience to generate effective slogans and longer ad texts in your company’s communication style.

The chatbot will also make it easier to draw insights from market trends or customer feedback. All you need to do is prepare them as a file that can be attached to ChatGPT Plus or pasted into the chat window. Precise questions concerning summaries, conclusions, or crisis management tips will allow you to optimize your marketing efforts and strategies.

By using ChatGTP or AI tools, we can significantly speed up crafting emails for clients, including newsletters and targeted offers. It’s worthwhile to remember as personalization is predicted by McKinsey analysts to be a major technological trend in 2024.

Does your company need viral social media posts? That’s another ChatGPT use case. While it might be a bit challenging, showing ChatGPT successful past posts and guiding it on the copywriting techniques to use can yield surprisingly good results. The posts may also be appropriately embellished with emojis and hashtags.

How can research and development (R&D) benefit from an AI chatbot?

In R&D departments, the main ChatGPT use case is to help you quickly analyze trends and generate new concepts. In this way, you can significantly accelerate:

  • developing new concepts — ChatGPT can help generate fresh concepts for products and improve existing solutions. However, be careful when sharing sensitive details about planned innovations, as the information in the chat may be used to train the model. This means it could be seen by OpenAI staff and become part of future versions of ChatGPT.
  • applying for funds — another way to use ChatGPT is to analyze contest rules and speed up the creation of grant applications. Just provide it with the format requirements and detailed project descriptions, and it should be able to generate a high-quality application.

When using ChatGPT and other generative AI tools, always double-check the information in the materials they create. This is especially important if the grant for your company’s development relies on these materials.

ChatGPT in project management

Project management is an area where ChatGPT can be extremely helpful, especially in the context of:

  • improving communication — answering questions about the project, its objectives, KPIs, or weaknesses,
  • task organization — for example, dividing tasks among team members with similar responsibilities, and
  • data analysis — both historical data related to team activities and external data, such as market trends or product reviews.

Summary

As you can see, ChatGTP has many uses in business. It’s worth considering in which areas of our company the chatbot could take over repetitive tasks, generate useful analyses, or support decision-making. This is a promising direction for the development of artificial intelligence, which may soon become a standard across many industries.

The scope of ChatGPT use cases is evolving dynamically as the tool itself changes. Not long ago, it was a simple text-based chatbot. Today, you can converse with it using voice. In the paid version (ChatGPT Plus), you can additionally:

  • create images with DALL·E 3,
  • use the mobile device’s camera to show ChatGPT pictures of documents or the task environment, and
  • make your own “special task” assistants, GPTs that remember instructions to further speed up repetitive tasks.

As AI advances, chatbots will get better at understanding commands and integrating information from text, sound, images, and motion. Their learning abilities already exceed those of humans today, as they can learn from experiences and analyze massive datasets.

As a result, chatbots like ChatGPT will increasingly be integrated into the daily work of departments such as HR, marketing, sales, and IT. As a result, we can expect that in a few years, seamless collaboration between humans and AI will become standard in most modern organizations. The key will be adapting to changes and addressing the ethical and security challenges of these technologies.
